# Your Technology Renewal Is a Decision Point, Not a Paperwork Exercise

Oct 13, 2026 | By [Chris Jones](https://simple.askconvergent.com/blog/author/chris-jones)

***Why Automatically Renewing May Be the Most Expensive Decision You Make This Year***

A renewal notice arrives, someone forwards it to IT, IT sends it to finance, and finance asks whether the service is still being used. Nobody is entirely certain, but canceling sounds risky, the deadline is approaching, and the provider is offering a discount for signing another three-year agreement.

So the company renews. Problem solved. Except nothing was evaluated.

The organization did not review usage, performance, support, security, pricing, employee adoption, or whether the technology still supports the business. It completed paperwork. Those are not the same thing.

**Renewals Reward Inertia**

Technology contracts benefit from a simple business reality. Customers are busy and renewals are rarely the only priority on anyone’s calendar. The agreement may not receive serious attention until the deadline is uncomfortably close. By then, the organization has limited negotiating leverage and even less time to evaluate alternatives. The easiest decision becomes renewing the current service. Easy does not mean smart.

A solution that fit the business three years ago may no longer fit today.

The organization may have added locations, reduced office space, adopted hybrid work, moved applications to the cloud, changed compliance requirements, experienced an acquisition, or restructured the workforce. The provider may have changed too.

Pricing models evolve. Support structures change. Product roadmaps shift. Providers are acquired. Features are added, removed, or rebundled. Yet many renewal conversations still begin with one question: Can we get a better price?

Price matters. Fit matters more.

**Start With Usage, Not the Contract**

The first renewal question should not be whether the company wants another term. It should be whether the company is receiving value.

- Are employees actively using the platform?
- Which capabilities are being used?
- Which licenses sit untouched?
- Has the technology solved the original business problem?
- Is the solution reliable?
- Does it integrate with the rest of the environment?
- Has the provider met its service commitments?
- How much internal time is spent managing issues?
- Does the contract still reflect the organization’s actual size and needs?
- What has changed since the original purchase?

If nobody can answer those questions, the business is not ready to renew. It is ready to investigate.

**Measure What the Technology Actually Changed**

A successful implementation is not the same as a successful technology investment. The system may have launched on time. The invoice may match the contract. Employees may have received passwords.

None of that proves the investment delivered value.

Organizations should evaluate adoption, utilization, proficiency, performance, and business results throughout the agreement.

Prosci found that 76% of organizations that measured compliance and overall performance met or exceeded their project objectives. Among organizations that did not measure those areas, only 24% met or exceeded their objectives. Apparently, checking whether the technology worked is more useful than assuming it did.

A renewal review should compare the original business case with actual outcomes.

- Did productivity improve?
- Were operating costs reduced?
- Did customer response times change?
- Did security improve?
- Were manual steps eliminated?
- Did the organization achieve the expected return?

When the answer is no, the next question should not automatically be, “How quickly can we renew?” It should be, “Why did the investment fall short?”

**Find the Zombie Contracts**

Most organizations have technology that continues billing long after anyone can explain why it exists. Old circuits remain active after locations close, former employees retain software licenses, departments purchase duplicate tools, legacy services renew because nobody owns the agreement, cloud resources continue running in the background and support contracts cover equipment the business no longer uses.

These are zombie contracts.

They are not alive enough to create value, but they are apparently alive enough to keep invoicing. A renewal review should identify what is being used, what is duplicated, what is outdated, and what no longer supports the organization. Removing unnecessary technology does more than save money.

It can reduce security exposure, simplify support, improve data governance, and make vendor accountability much clearer. Sometimes the best renewal decision is not negotiating another discount. It is stopping payment for services the business no longer needs.

**The Renewal Should Test the Provider Relationship**

A renewal is also the right time to evaluate provider performance: did the provider respond when problems occurred, were issues resolved within the promised time, did account representatives understand your environment, were service-level agreements met, were credits applied when they were not, did the provider help the organization adapt as its needs changed, did it communicate product changes clearly? Or did the account team disappear after the implementation and return 60 days before the renewal?

A provider should not receive another three years of revenue simply because replacing it feels inconvenient. The renewal should be earned.

**Adoption Requires Reinforcement**

Organizations often treat adoption as a launch activity. Employees receive training, the new platform goes live, and the implementation team moves on. But people naturally return to familiar tools and processes, especially when the new approach requires more effort or has not been reinforced by leadership.

Prosci found that 81% of organizations that planned for reinforcement and sustainment met or exceeded project objectives. Only 15% of organizations that did not plan for reinforcement achieved the same result.

That matters at renewal. Low usage does not always mean the technology was wrong. It may mean the rollout, training, communication, workflow design, or ongoing support was inadequate. A good renewal review distinguishes between a platform problem and an adoption problem.

Replacing a capable system without correcting the adoption issue can produce the same disappointing outcome with a different logo.

**Market Context Creates Negotiating Leverage**

Most organizations only see their own contract. A technology advisor sees the broader market. They understand current pricing, provider performance, support models, contract structures, and emerging alternatives.

That context helps the business determine whether the current agreement remains competitive and whether the provider still represents the best fit. It also prevents unnecessary change.

The objective of a renewal review is not automatically to replace the incumbent. Sometimes the current provider remains the right choice. The best recommendation may be to renew with revised terms, reduce unused services, improve the support package, consolidate overlapping tools, or add capabilities the business now needs.

The goal is not disruption. The goal is an informed decision.

**Begin Before the Deadline**

The worst time to evaluate a renewal is two weeks before it expires. By then, the business may have surrendered most of its options.

A meaningful renewal process should begin early enough to:

- Analyze usage and spending.
- Review performance and support history.
- Confirm current business and security requirements.
- Identify unused or overlapping services.
- Measure adoption and business outcomes.
- Benchmark pricing and contract terms.
- Evaluate alternatives.
- Plan a migration if change is necessary.

Negotiate from knowledge rather than panic, waiting until the deadline does not preserve flexibility. It gives it away.

**Renew the Value, Not Just the Contract**

Every renewal is an opportunity to ask whether the organization is still moving in the right direction. The answer may be yes. It may also be, “This stopped fitting the business two years ago, but nobody looked.”

Convergent helps organizations evaluate technology renewals based on usage, performance, pricing, support, security, business requirements, and long-term strategy.

Do not let the renewal notice decide for you. Use the moment to evaluate the technology, the provider, the contract, and the result. A renewal should protect your future, not preserve your past.

Before your next agreement rolls into another term, talk with Convergent.
